Exhibitor Restrictions

All products to be displayed shall be "green" products or services by Cradle to Cradle rating system, FCS, SCI, or equivalent. In absence of independent product certification, green features of product must be submitted to committee for evaluation for inclusion at conference. We ask that exhibitors refrain from distributing "throw-away" items; rather they should give away useful items such as coupons, discounts, consultations, etc. to increase knowledge and implementation of sustainable building practices .

Insurance

Exhibitors are required to carry Comprehensive Liability Insurance on their personnel, exhibits and equipment. Exhibitor assumes responsibility and agrees to indemnify and defend AIA New Jersey and their respective officers, committee, staff members and agents against any claims or expenses arising out of their participation in this event and the use of the exhibition premises. Exhibitor is responsible to provide documentation of insurance policy to AIA NJ upon request.

Cancellation Policy

All exhibit booth cancellations must be made in writing and received by AIA-NJ no later than June 9, 2011. A $150 fee will apply to all cancellations. There will be no refunds after June 9, 2011. Send notice of cancellation to Laura Slomka, AIA-NJ,

Fine Print
Space Allocation & Payment:

    Table allocation shall be made by the Exhibits Committee contingent on the number of tables reserved and receipt of payment.

    Tables are 5'x2'; table coverings are to be supplied by the exhibitor.

Space Reservations:
    Sponsors and Exhibitors can reserve space by completing and returning the enclosed contract form with payment. You will receive information on drayage, decorating, electrical service, parking, and other services upon receipt of your completed contract. Every effort is made to assign space on a first-come, first-served basis.
Aisle Space:
    All aisle space is under the control of AIA NJ and shall not be used for exhibit or demonstration purposes.

Exhibit Restrictions:

    1. The Show Management reserves the right to remove or eliminate any objectionable exhibits, persons, advertisements, souvenirs, or any other feature or action which might harm or injure the high standards of the Conference.

    2. Brookdale CC will not permit the affixing of anything to the walls, floor or ceiling in the rooms with nails, staples, tape or any other substance.

    3. All property destroyed or damaged by Exhibitors must be replaced to its original condition by Exhibitor or at the Exhibitor's expense.

    4. All materials MUST be non-flammable to conform with the Fire Regulations of the State of New Jersey.

    5. Electrical wiring and equipment installation must conform to the National Electrical Code. Materials not conforming to such regulations will be removed immediately at the Exhibitor's expense.

    6. Electrical arrangements should be made directly with Brookdale CC. Any additional cost incurred will be the responsibility of the exhibitor. Detailed exhibit information will be sent to confirmed exhibitors.

    7. Engines, motors or any kind of equipment may not be operated.

    8. Each Exhibitor expressly releases Brookdale CC and AIA-NJ against any and all claims for injury, loss or damage.

    9. Brookdale CC will not accept any packages of any weight or size addressed to any convention attendees/exhibitors. Exhibitors are to transport and display their own materials.

    10. Installation and dismantling of exhibits will be setup in accordance with the enclosed show schedule. NO set up of exhibits will be permitted during the hours when the conference is formally open. No dismantling of exhibits will be permitted until the conference is formally concluded.

    11. All materials must be removed by the Exhibitor at the conclusion of the show. The management reserves the right to remove any material left at the conclusion of the show at the expense of the Exhibitor.

    12. The exhibitor must have an attendant in charge of his/her exhibit during the hours the Exhibit Area is open.

Counsel fees clause:

    In the event that AIA NJ is required to commence any legal action in order to enforce any of the terms of this Agreement, in the event that AIA NJ prevails or enters into a favorable settlement of such action, in addition to any award made by the Court, AIA NJ shall be entitled to and the Exhibitor shall pay to AIA NJ its reasonable counsel fees, court costs and other expenses incurred in pursuing such action.
Choice of Forums Clause:
    Any legal action by and between the parties to this Agreement shall be filed in the Superior Court of New Jersey, Mercer County, NJ.
Use of Logos:
    Exhibitors authorize AIA-NJ to display and use the Exhibitor's logo and/or name for promotional purposes. Electronic logos must be submitted to AIA-NJ no later than June 1, 2010 for inclusion in the conference materials.
